Privacy Policy

KAizen Chess Lab LLC ("KAizen," "we," "us," or "our") provides chess-analysis, cognitive-coaching, training, and progress-tracking services. This policy explains what information we collect, where it comes from, why we use it, how it is shared and retained, and the choices available to you.

Information we collect

Account information: email address, authentication-provider identifiers, and profile information you choose to provide.
Chess and training information: imported or pasted PGNs, platform usernames, ratings, analysis results, coach summaries, in-game assignments, trainer activity, and progress history.
Coach chat information: questions you ask, answers generated for or shown to you, the coach and game involved, and limited retrieval, model, latency, and quality-review metadata. We do not intentionally add account-email, network-IP, access-token, hidden-prompt-stack, or full-conversation-history fields to the coach-chat improvement dataset. Common email, IP, bearer-token, JWT, and API-key patterns found inside chat text are automatically redacted before storage, though no automated detector is perfect.
Purchase information: subscription status, product, transaction, and entitlement identifiers. Payment-card details are processed by Stripe and RevenueCat and are not stored by KAizen.
Usage and device information: pages and product features used, funnel events, browser or device information, referral or advertising identifiers, and diagnostic logs.
Support information: messages and information you send when requesting help, deletion, billing support, or account access.

Sources of information

We receive information directly from you; from your use of KAizen; from authentication, hosting, analytics, advertising, support, and billing providers; and from chess platforms when you ask us to import publicly available or authorized game information.

How we use information

We use information to authenticate accounts; import and analyze games; produce coaching, in-game assignments, and longitudinal progress; provide and reconcile subscriptions; maintain security and quotas; diagnose failures; improve the service; support users; and measure signup, analysis, and purchase performance. Optional advertising and campaign analytics stop after they are rejected. Essential product telemetry described below remains active.

Legal bases where applicable

Where privacy law requires a legal basis, processing may be necessary to perform our contract with you, comply with law, protect legitimate security and service-improvement interests, or act with your consent. You may withdraw consent for optional analytics using the site-footer control. Withdrawal does not affect processing already completed lawfully.

AI processing

Game and profile context needed for coaching may be processed by Google Cloud and Vertex AI. Deterministic chess facts remain separate from narrative coach output, and coach narratives do not own canonical game, in-game assignment, or career truth. Coach-chat interactions may be reviewed and analyzed to evaluate answer quality and improve KAizen. Captured interactions are not automatically approved as model-training examples; they remain review-gated unless separately approved under an authorized process. We do not sell personal information or use private student game data to train public models without permission.

Service providers and sharing

We share information only as needed to operate the service, comply with law, protect users, or complete a transaction. Providers may include Firebase and Google Cloud for authentication, hosting, storage, analysis, and analytics; HeyCatch for essential product telemetry; Vertex AI for coaching generation; RevenueCat and Stripe for billing; and Google Ads, Meta, and Reddit for optional measurement and advertising while those services are enabled. Reddit Conversions API matching may use an advertising click identifier, browser information, and one-way SHA-256 hashes of account identifiers; raw email addresses, chess games, and coaching content are not included in those server conversion events.

Cookies and browser storage

Necessary browser storage supports authentication, security, preferences, and unfinished training state. HeyCatch essential product telemetry initializes on every page to record product interactions, routes, device and session metadata, and diagnostic events. When you sign in, KAizen associates that telemetry with your account UID and may include your email, display name, plan, signup date, and completed signup, onboarding, or purchase events. Optional advertising and campaign analytics are enabled by default. You can reject or re-enable those optional services using the footer control; the change applies after the page reloads. International processing

Our service providers may process information in the United States and other countries where they operate. Where applicable law requires it, transfers are handled through provider and contractual safeguards appropriate to the service.

Retention and security

Account, chess, coaching, training, and progress information is generally retained while your account is active and as reasonably needed to provide the service. Raw coach-chat interaction records are retained for up to 24 months. Billing, tax, fraud-prevention, security, dispute, chargeback, and legal records may be retained for the period required by law or reasonably necessary for those limited purposes. Backups may retain deleted data temporarily until overwritten or expired. Aggregated or de-identified statistics may be retained longer when they no longer reasonably identify you.

We use HTTPS, authenticated access controls, owner-scoped data paths, backend authorization checks, and restricted warehouse access, but no system can guarantee absolute security.

Your choices and privacy rights

You may reject optional advertising and campaign analytics at any time using the site-footer control. Depending on applicable law, you may also request access, correction, export, deletion, restriction, objection, or withdrawal of consent by emailing support@kaizenchesslab.com. We may need to verify your identity before acting. We will not discriminate against you for exercising a privacy right provided by applicable law.

Age requirement

KAizen accounts are intended for users age 18 or older. We do not knowingly collect personal information from children. If you believe a child supplied information, contact us so we can investigate and delete it where appropriate.
